1. About this policy
Joina ("Joina", "we", "us" or "our") provides quoting, costing, project and shop-drawing software for cabinetmaking businesses. We are based in Queensland, Australia.
We aim to handle personal information transparently and in accordance with applicable Australian privacy law, including the Privacy Act 1988 (Cth) and the Australian Privacy Principles where they apply to us.
Important: Your organisation controls the client, supplier, employee and other third-party information its users enter into Joina. Your organisation is responsible for having authority to collect and use that information.
2. Information we collect
Depending on how you use Joina, we may collect:
- Account and business details, such as names, email addresses, phone numbers, company names, ABNs, licence details, addresses, roles and team memberships.
- Project and customer data, including customer contact details, site addresses, plans, PDFs, drawings, quotes, invoices, rooms, measurements, pricing, materials, supplier details, notes and generated outputs.
- Billing information, such as subscription status, billing contact and transaction identifiers. Card details are collected and processed by Stripe and are not stored by Joina.
- Communications, including support emails, demo or walkthrough requests, feedback and information you provide when we help you.
- Technical and usage data, such as IP address, browser and device information, pages and features used, referring pages, event timestamps, authentication activity, cookies or similar identifiers, diagnostics and crash reports.
Please do not upload sensitive information unless it is necessary for your legitimate use of Joina and you are authorised to do so.
3. How we collect information
We collect information directly from you when you create an account, use the service, upload a file, configure a workspace, subscribe, request support or contact us. We also collect information automatically through the website and service, and receive limited information from providers that support authentication, hosting, payments, analytics, mapping, email delivery, AI processing and error monitoring.
4. Why we use information
We use personal information to:
- provide, secure, maintain and improve Joina;
- create and administer accounts, workspaces, subscriptions and payments;
- process uploaded plans and project information, including using AI-assisted extraction and review features at your request;
- generate quotes, drawings, reports and other requested outputs;
- provide support, onboarding, notices and service communications;
- measure website and product use, diagnose faults and prevent fraud, misuse or security incidents;
- comply with legal obligations and enforce our Terms of Service; and
- send marketing where permitted, with an option to unsubscribe.
We do not sell personal information.
5. AI-assisted features
When you choose an AI-assisted feature, relevant project content may be sent to our contracted AI service providers for processing. This may include plans, PDFs, measurements, notes and information appearing in those materials. Outputs can be incomplete or incorrect and should be reviewed by a qualified person before they are relied on.
We use service-provider arrangements intended for business processing. We do not authorise providers to use your project content to advertise to you. Provider handling and retention can vary by service and configuration.
6. When we disclose information
We may disclose information to service providers that help us operate Joina, including providers of cloud hosting and databases, authentication, payments, analytics, mapping and address lookup, email delivery, AI processing, customer support and error monitoring. Current product integrations include services supplied by Supabase, Railway, Stripe, Sentry, Google, OpenAI and Anthropic where the relevant feature is enabled.
We may also disclose information to professional advisers, regulators, law enforcement or other parties where required or permitted by law, to protect rights or safety, or in connection with a proposed business sale or restructure subject to appropriate confidentiality safeguards.
7. Overseas handling
Some providers may process or store information outside Australia, including in the United States and other countries where they or their subprocessors operate. Privacy protections in those countries may differ from Australian law. We take reasonable steps appropriate to the service and information involved when selecting and managing providers.
8. Cookies and analytics
Joina uses cookies and similar technologies that are necessary for authentication, security and remembering service state. Our public website may use Google Analytics or Plausible Analytics to understand visits and feature engagement. You can limit non-essential cookies through your browser or supported privacy controls, although blocking necessary cookies may prevent parts of Joina from working.
9. Security and retention
We use reasonable technical and organisational safeguards designed to protect information, including access controls, encrypted network connections, authentication controls, monitoring and backups. No online service can guarantee absolute security.
We keep information for as long as reasonably needed to provide the service, meet legal, accounting and security obligations, resolve disputes and maintain legitimate business records. Retention periods vary by data type. Backups and logs may remain for a limited period after account or data deletion.
10. Access, correction and deletion
You can update some information within Joina. To request access to, correction of, or deletion of personal information we hold about you, email support@joina.com.au. We may need to verify your identity and may retain information where required or permitted by law.
If your information was entered by a Joina customer, contact that customer first because they control their workspace data. We will assist them where appropriate.
11. Complaints
Email support@joina.com.au with details of your concern. We will acknowledge and investigate privacy complaints within a reasonable time. If applicable privacy law covers the matter and you are not satisfied, you may contact the Office of the Australian Information Commissioner.
12. Changes and contact
We may update this policy as Joina and applicable requirements change. We will publish the updated version here and change the effective date. For material changes, we may also notify account holders through the service or by email.
